We are looking for a Sales Administrator to join the team at this amazing company in Oxford that are associated with the leisure industry. The company have gone from strength to strength in recent years and have seen lots of natural growth and recent success.
We are looking for a Sales Administrator in Oxford that is confident across a commercial environment, who can liaise with other departments and who has broad administration skills. The ideal candidate will be a confident, self-starter with excellent inter-personal skills. To truly believe that there is a solution to every challenge and an ability to problem solve is a must, with an analytical approach to work vitally important. General IT competence is essential, training with be provided for specific IT skills but the candidate must be willing and able to be trained to offer a limited level of IT support to customers. The successful applicant will be working within the Sales Support team, reporting to the Sales Support Team Leader.

Part-time Sales Administrative Assistant
Description of Role
1. Sales administration and proactive support of specific Commercial processes, including:
• Processing diligently sales orders from order entry to despatch
• Maintaining, reporting and monitoring status of customer quote list and sales order book
• Despatch of goods, which includes:
o Prepare for shipments in a timely manner
o Ensure required shipping paperwork is in place for domestic & international deliveries
o Liaison with other departments in terms of stock, packing lists etc
o Communicating status and associated priorities with colleagues in other departments (inc. sales, R&D, etc)
o Preparation of sales invoices
o Accurate movement of stock
2. General administration that, where possible, ensures the smooth running of important business tasks within the Commercial department, including:
• Raising and delivering purchase orders, e.g. shipping agents
• Scheduling & organising meetings (both internal and external) and associated hospitality
Key Skills/Profile
• Attention to detail
• Ability to learn quickly
• Ability to understand and uptake new software systems, specifically accountancy software.
• Experienced use of Microsoft applications, particularly Excel
• Well organised & good time management
• Proactive with colleagues across all areas, e.g. project managers, Financial Controller
• Good communicator
• Ability to follow processes accurately
• Excellent written communication skills
• Ideally, experience in sales administration & exporting of goods
• Ideally, minimum 1 years experience in commercial environment
Contracted Hours
• Tuesday and Thursday (possibly 3 days, dependant on candidate needs too), 9:00 to 5:30
• Total of 2-3 days per week, but flexibility to do additional hours to cover holidays and fluctuations in workload with appropriate notice given. (Flexitime rules also apply.)

ROLE:
The shared leisure facilities project officer post forms a key part of the leisure team within the economy, leisure and property service, which comprises the following teams:
• Arts - includes arts development and Cornerstone arts centre at Didcot
• Economic development – includes economic development and strategic property
• Leisure – includes leisure facilities and participation, which includes Wantage Civic Hall, GO Active, Active Women, club development and partnership working
• Technical and facilities – includes car parks, public toilets, facilities management, mobile home parks, engineering services, admin support and emergency planning.
The post holder’s key role will be to deliver the leisure facility service, as reflected in the key tasks set out below. The post holder will report to the shared facilities development (leisure) officer, and work closely with other members of the leisure team, officers in other service teams, and external partners, particularly Greenwich Leisure Limited, Active Nation, Soll (Vale) and Oxfordshire County Council.
RESPONSIBILITIES:
a) To manage and deliver service projects
b) To develop and monitor annual repair and maintenance work programmes for the leisure facilities, in liaison with partners, and ensure that the necessary works are undertaken within time and budget
c) To undertake actions identified in the councils’ equality impact assessment and equalities
d) Procure and implement the outcomes of condition surveys on all of the leisure facilities
e) Review, prioritise and implement projects in conjunction with the councils’ carbon management team to reduce the councils’ carbon footprints and reduce operating expenditure
ESSENTIAL SKILLS / EXPERIENCE:
a) Qualified to HND/degree level or relevant equivalent experience
b) Experience of project and financial management and monitoring
c) Effective IT, written and verbal communication skills, and a good level of numeracy
d) Familiarity with contract procurement process
e) Able to prioritise and meet deadlines with limited supervision
f) Hold a current full driving licence
