Our client, provide an invaluable search and selection and strategic advice to mid management and senior level recruits
require a PA to support the Director and a small team whilst also overseeing the quiet reception area.
As PA/ Reception your main duties will be:
*Manage all aspects of email
*Diary management for Director and UK Team, this includes an excel copy of diary movements for the past 2 years which
needs to be kept updated
*Assist with the day to day management of the recruitment life cycle of all on-going assignments including organizing
travel arrangements, booking meetings for candidates/clients, keeping the assignment files up to date/tidy, preparing the
relevant documentation, emailing candidates and clients
*Drafting of relevant documentation and emails as directed
*Audio Typing
*Deputising in the absence of the Director who works remotely 1 day a week and ensuring that he is kept abreast of all
developments in the office in his absence and is updated regularly with messages
*Filing
*Answering/fielding all incoming calls via reception switchboard, ensuring that all messages are noted correctly and
forwarded to other members of staff as appropriate
*Greeting all visitors to reception, offering them refreshments and ushering them either to the boardroom or to front of
house as appropriate. Updating the relevant contact within the office
*Ensuring that the front of house desk space and visitors area is tidy at all times
*Maintenance of the boardroom including ensuring that it is kept tidy and checked throughout the day in preparation for
forthcoming meetings. Management of board room diary
*Direct incoming post to Office Manager
*Responsibility for smooth operation of franking machine and associated issues and well as frank all outgoing mail to be
taken down to main reception in time for the last post at 5pm
*Ensure that weekly staff movements are kept updated and communicated accordingly
*Maintenance of terrace plants, making sure they are watered and fed on regular basis
*Processing monthly stationery orders and ensuring we have sufficient office supplies
*Maintain kitchen area including ensuring that it is kept tidy and checked throughout the day, that kitchen supplies are
kept adequately stocked and that the dishwasher is emptied at beginning of day and loaded and switched on for cleaners at
end of day
*Organise and distribute daily lunchtime rota for research team and members of staff who man phone system
*Maintenance checks on office machinery i.e. printers, faxes, scanners etc. and record monthly meter readings to be
processed. - Be point of contact for any issues regarding office machinery
*Monitor staff collections for staff birthdays/occasions and buying presents
*Updating staff phone extension lists and phone extensions
*Assist with IT operations and issues
*Management of hard file filing system
*Ad-hoc secretarial support to Managing Director in absence of Office Manager
You will preferably have:
*Experience within a Search & Selection company ideal but not essential
*2 + years administrative experience
*Experience of operating within a front of house or receptionist role
*Experience of audio typing
*Good education - A' Levels as a minimum
*Secretarial qualification
*Good judgement skills in order to screen calls adequately and differentiate between legitimate callers and sales calls
*Excellent telephone manner as first point of contact for business
*Excellent interpersonal skills as first point of contact to all visitors
*Good creative writing skills in order to assist Director, UK team, Office Manager etc with drafting of documentation
*Highly organised with the ability to prioritise tasks quickly and effectively
*Good time management skills
*Good team players as this role has several reporting lines but also supports the business from an administrative
perspective and via the front of house role
*Pro-active approach to identify possible issues with on-going assignments and update the Director and UK team as
appropriate
