Create and maintain the monthly org charts for all divisions ensuring they match the PeopleSoft records.
Manage the diary and travel arrangements for the VP HR; complete the expenses of the VP HR and the Director of HR UK, including the booking of hotel and travel arrangements for business trips.
Keep an accurate record of all starters, leavers and promotions from PeopleSoft and analyse the data on a quarterly basis.
Apply for relocating senior Executives NI number's.
Maintain the Peoplesoft HR Database and Total Reward System (TRS) in real time; working closely with Burbank to ensure that Peoplesoft is effectively utilised to reduce duplicate reporting requirements;
Using Peoplesoft and other appropriate systems, create and maintain accurate Staff lists and other ad hoc reports as required by Burbank, the HR team or the business
Create HR related administration including but not limited to; document checks, offer letters, employment agreements, changes to terms and conditions of employment, termination and leave confirmation letters and immigration tracking.
Ensure all company compliance documentation is received and updated as required for all employees.
Set up and maintain manual Personnel Files for all employees; ensure regular filing and archiving of HR documentation.
To manage the administration of UK Total Reward Statement system, ensuring that data is kept up to date and accurate, and acting as a point of contact for employee queries on TRS.
To prepare and distribute accurate and timely data updates (in accordance with data protection legislation) to UK benefit providers and external service providers including but not limited to Healthcare, absence management, driver compliance checks, pension etc.
Prepare the UK monthly payroll submissions to ensure that all new hires, leavers and changes are reported in a timely and accurate manner. To liaise with UK payroll to ensure the correct payment of salary and benefits for all employees.
To ensure all HR administration is completed in a timely, accurate and organised fashion.
Update and maintain the HR Administration Procedures manual ensuring it is user friendly and readily available for any other member of the HR department to refer to.
Identify and implement ways to improve current HR administration process

Qualifications - A level or above preferred
Media background preferred

* Excellent working knowledge of Microsoft office packages especially Word and Excel. (In particular
experience of V look up and formulae)
* Demonstrable data entry skills
* Experience of PeopleSoft or other HR databases
* Excellent interpersonal and communications skills, both written and verbal.
* Excellent verbal and written communication skills
* Confident communicating with all levels of staff within the Company
* Proven experience in establishing and maintaining strong working relationships with others
* Patient, calm and unflappable nature and flexibility in approach to workload
* Enthusiastic and motivated Team Player
* Strong organisational skills and a good track record of multi-tasking and prioritising a workload.
* Must be discreet, diplomatic and treat information within the department as highly confidential
* Excellent time management essential
* Flexible and adaptable approach to work; willing to learn and get involved with duties outside of
day to day job description
* Meticulous attention to detail including proofing and editing.

Work Experience
* Proven experience in administration role
* Previous HR Admin experience is desirable with a genuine interest and understanding of the role
HR plays in an organisation.
* Previous experience working with a total reward system.
* Experience working with SAP HR and/or PeopleSoft databases preferable
* Previous experience of working within an American parent company highly advantageous.
