TUI Hotel &Resorts operate both fully owned and joint venture businesses. Countries where our hotels are located are: Spain, the Canaries, Greece (Greek Islands), Cyprus, Turkey and Bulgaria and we are looking to expand into other areas of the world.

As PA you will be responsible for providing direct support to the Director of TUI Hotels & Resorts. In addition, there will also be a requirement to support the wider team. The role is a diverse one, with a focus on organising and supporting this very busy team.

What You'll Be Doing

* Diary management for the Director to ensure the most effective use of time, and provide all relevant documentation prior to meetings

* Monitoring and managing emails for self and the Director to ensure timely action is taken where necessary and deadlines are met, responding where appropriate in Director's absence

* Arrange and co-ordinate all accommodation and international travel arrangements for the Director and the wider team, where necessary, providing clear documented Itineraries.

* Prepare and organise any visa and other documentation required for foreign travel

* Management of correspondence for the Director and wider team when necessary

* Electronic and paper-based utilising Word, Powerpoint and Excel, including preparation of reports, minutes, letters, memos, spreadsheets and presentations to a high standard of accuracy and attention to detail in order to meet appropriate deadlines

* Provide general administration for the Director & wider team including printing, photocopying and document management

* Maintain an efficient filing system for Director & wider team, in particular keeping statutory records, board minutes, legal documents and contracts, etc.

* Process cash and credit card expenses for the Director

* Book meetings, meeting venues (including external locations where necessary), prepare Agendas and manage refreshment requirements

* Maintain departmental holiday records and produce a weekly department whereabouts schedule

* Build strong relationships with internal and external contacts

* Stationary and IT software - sourcing, procuring and monitoring stock levels

* Electronic iPad file management

What We're Looking For

* Demonstrable experience in a similar role at Director level

* Excellent organisational skills along with the ability to confidently prioritise tasks in a timely manner

* Strong diary management skills but remain flexible to manage last minute changes

* Excellent communication and interpersonal skills (verbal and written)

* Ability to communicate and develop relationships with internal and external customers at all levels and across a wide geographical area

* Excellent technical ability including MS Word, Powerpoint & Excel spreadsheet skills to an advanced level

* Numeric skills would be an advantage in broadening the scope of the role

* Flexible working style and openness to take on additional responsibility where needed

* Self-motivated, trustworthy, confidential and discreet with good judgement and time management skills

* Adaptable, flexible, responsive to change and able to work under pressure

* Team player

* Languages (French, German, Spanish, Greek and potentially Turkish) would be advantageous but not essential

* Personable, approachable and able to converse with people at all levels within the organisation both internally and externally

* Enthusiastic, adaptable and capable of dealing with a variety of tasks at once with an ability to cope under pressure

* Demonstrates commitment, reliability and flexibility

* Demonstrates complete discretion and confidentiality

* Proactive, with the ability to work either on own initiative or as part of a team

* Confident and highly motivated with a "can do" attitude
