Job Purpose:
Responsible for providing administrative and secretarial support to five Investment Partners. The position requires
excellent organisational skills and the ability to handle multiple tasks simultaneously often working under pressure and
to tight deadlines. The ability to work with limited direction from the all members of the team is essential.
Key Responsibilities and Accountabilities:
* Screen broker calls, liaise with brokers to organise meetings for the team; setting up conference calls
* Dealing with email broker requests for company/analyst meetings both within the team and other Investment Partners on
the floor and actioning meeting requests and keeping a log of confirmed and declined meetings so that a continuous
activity log is maintained
* Registration of participants at broker conferences in UK and overseas; co-ordination of meeting programme with
conference co-coordinator to ensure company meeting requests are actioned and timetables received for insertion into
individual calendars
* Extensive Diary management to ensure all relevant meeting and travel information for each team member is inserted
* Internal meeting arrangements
* Preparation of travel packs to include detailed travel itinerary, finalizing broker meeting schedules, and company
research
* Travel research prior to issuing booking instruction to Travel Co-coordinator. Research comprises flight routing
options, transportation links, airport information, overseas public holidays and customs (initial visits only). On line
check in service and administration of airline frequent flyer programmes
* Organising currency for trips and submission of expenses reports for UK and overseas travel. Following up on missing
receipts for AMEX statements and producing expense breakdown forms of hotel receipts after travel has been completed
* General copy typing of meeting notes and research trip reports. Filing company notes from trip in each master file on
system.
* Drafting correspondence on behalf of Partners
* Personal work: involving research of travel arrangements for family journeys to include flights, hotels, trains and car
transfers. Administration of flight loyalty programmes and bookings with airmiles. Dealing with BUPA and private
healthcare appointments when necessary; private correspondence and faxes
